The following are procedures and regulations concerning the on-campus interviewing process for Cooperative Education, Internships, and Summer Employment.
|
I. On-Campus Interviews
Several hundred employers schedule on-campus interviews for permanent jobs, cooperative education, or summer positions each semester. Interviews are scheduled from mid-September until early December and mid-January until mid-April. The average interview time is thirty minutes. Most interviews are conducted at Career Services or Corbett Center. Check the weekly room schedule for the exact location.
Employers visit NMSU to find qualified candidates to fill positions for their experiential programs (e.g. cooperative education, internships, and summer employment) within their organizations. Students who are registered with Career Services may sign up for these on-campus interviews When students decide to sign up for an interview, they should:
- research the company to learn about its internal structure
- become informed about what the employer is looking for
- review the employer's eligibility requirements to determine if they meet those requirements
- sign up for their selected time slot

II. AggieTRAK - Scheduling an On-Campus Interview
- Your AggieTRAK profile and resume must be completed and approved before you can schedule an on-campus interview. Click on the AggieTRAK link.
- All candidates who schedule on-campus interviews are responsible for showing up in the time slots reserved.
- Search by date range (mm/dd/yyyy) to access a list of on-campus interviews. You also can search by partial company name. Click on [Search]. The results of your [Search] can be sorted by event date, date last modified, company name, event type, job type, or event location.
- To schedule an OPEN INTERVIEW, candidates must meet the interview requirements provided by the employer. These can include degree, major, graduation date, and overall GPA.
- Read the job description for each interview to find out about any special requests made by the employer, such as attendance at information sessions/presentations or additional employer applications.
- Be sure to check with our office (Room 224, Garcia Annex) well in advance to verify the location of your campus interview. Arrive 10-15 minutes prior to your interview. Employers will look for you in the chair located just outside their door.
- On the day of the interview, the employers will receive resumes of all candidates who scheduled time slots via AggieTRAK.
Interview schedules remain open until filled. It is the responsibility of the registrant to schedule on-campus interviews using AggieTRAK. Occasionally, however, the Co-op Office may call qualified registrants in an attempt to fill an employer's schedule. Please realize that this is not the norm and is done as a courtesy to the employers to assure they are able to see as many qualified candidates as possible during their visits to campus. Your initiative is required in reviewing interview opportunities and in scheduling your own appointments.

III. Special Permission
Candidates who don't meet all the employer requirements may request special permission from the employer to be allowed to schedule an interview with them. To request this permission, draft a cover letter stating the type of employment you are interested in pursuing with the particular employer. Identify academic, employment, or personal experiences that relate to the type of work desired. In the letter, state specific examples of abilities that would be of interest to the employer. Include a resume that also provides a list or description of skills that would be valuable to the employer. Send both a resume and a cover letter to the contact person. It is important, where possible, to send the letter approximately six weeks before the on-campus interview date in order to give the employer ample time to review the request. If you do not hear from the employer within two weeks, it would be appropriate to call the contact person and inquire about the receipt of the letter and determine the status of your request.
You will be eligible to schedule an interview if you recieve a letter from the employer indicating they would like to interview you. The employer can also call our office directly at (575) 646-4115 and inform a staff member of their desire to schedule an interview with you.

IV. Interview Policy
Employers schedule recruiting trips each semester. Interviews may be scheduled for co-op positions, summer jobs, and/or internships. The interviews usually last half an hour and are scheduled on a first-come, first-served basis. The exception is in the case of pre-select schedules (where resumes are submitted to prospective employers, who then select the students they would like to interview). Students should always be in touch with the Co-op Office and become familiar with the interview announcement process.
Scheduled interviews are announced on the AggieTRAK section of the Career Services website. To sign up for an interview, you may either contact a staff member or you may sign up on the web. Once you schedule an on-campus interview, you have made a commitment to the employer to show up for the selected time slot..
No-shows and last minute cancellations jeopardize the relationship between the Career Services and the employer. Inform our office at least 24 hours in advance if you need to cancel a scheduled interview. If you give less than 24 hours notice and we are unable to fill the interview slot, you will be considered a “NO-SHOW” and you must comply with the No-Show policy.
The no-show policy requires you to meet with a staff member to discuss your action. You also will be required to write a letter of apology to the recruiter with whom you cancelled. You will be reminded of this policy each time that you schedule an interview.
To assist you in preparing for interviews, Career Services offers workshops on interviewing skills, in addition to other topics related to the job search. You may participate in any of these workshops or speak with a Career Services staff member for individual assistance.

V. Offers & Acceptances
When you receive an offer, you may want to request a few days to consider the offer before giving the employer your decision. These extra days may be helpful to you, so that you can call other employers with whom you have applied or interviewed to inquire about your status with them. It is important to be as professional as possible in your acceptance of an offer.
ONCE YOU ACCEPT AN OFFER, YOU HAVE MADE A COMMITMENT TO THAT EMPLOYER FOR AT LEAST THE FIRST WORK ASSIGNMENT. REMEMBER:
- Employers must make hiring decisions as soon as possible due to the short turn-around time they have each semester.
- When employers fill their positions, all other students, including alternates, are notified of non-selection.
- A decision to renege on an offer can inconvenience the employer and lead to loss of opportunity for other students at NMSU.
Please remember that while participating in the Co-op Program, you are still considered a full-time student for financial aid and insurance purposes.
For each co-op work assignment in which you participate, it is important to report your status to the Cooperative Education Office. When you report your acceptance of the initial offer or any consecutive assignments, the Co-op staff will assist you to “enroll” for the workphase. Proper enrollment for each assignment will ensure the you retain your full-time student status for financial aid and insurance purposes. You will not be assessed additional fees.
Please remember to continually update your web registration and submit it to the Co-op Office to keep your file current.
